Membership Administrator Role

1. Overview

The Membership Administrator is responsible for managing the membership life cycle at ChattLab Makerspace, ensuring a smooth experience for both new and existing members while maintaining accurate records and financial accountability.

2. Duties & Responsibilities

The Membership Administrator focuses on the following key areas:

  • Membership Processing:
    • Handling new member applications and guiding applicants through the approval process.
    • Ensuring all required information is collected for membership records.
    • Communicating with applicants regarding their status and next steps.
  • Member Records Management:
    • Maintaining accurate records of both new and existing members.
    • Requesting additional data from members as needed to ensure up-to-date information.
    • Ensuring compliance with membership policies established by the Board of Directors.
  • Financial & Payment Processing:
    • Overseeing membership dues, ensuring that payments are processed correctly and on time.
    • Working with members to resolve any payment issues and ensure financial obligations are met.
  • Membership Termination & Cancellations:
    • Assisting members who wish to cancel their membership, guiding them through the proper procedures.
    • Ensuring that cancellations are documented appropriately.

3. Reporting Structure

The Membership Administrator reports to the President and collaborates closely with:

  • The Treasurer, to ensure proper payment processing and financial oversight.
  • The Secretary, to maintain and update membership records as needed.

This role plays a critical part in maintaining member engagement, compliance, and financial integrity, supporting the makerspace’s mission of fostering a strong and well-managed community.
